Architecture & planning services cost breakdown: hours lead, not materials
Costing a design practice properly - billable hours and office overhead come first, subconsultants and design revisions are the two genuinely large categories, unlike physical production.
Architecture and planning is a PROFESSIONAL SERVICE, not physical production - what gets delivered is drawings and documents, not a machined part or a square meter of building. So this guide inverts the usual order: labor and office overhead come first, while material and equipment - the backbone of manufacturing - are genuinely tiny line items here.
The unit everything gets costed against: ONE HOUR of design consulting. Not one drawing (page count says nothing about actual effort) and not one project (every project is a different size, so projects don't compare). Hours are the one thing measured consistently across every project regardless of scale.
The real design stages of the trade
- Client brief & site survey - hearing the brief, measuring existing conditions.
- Concept design - massing and initial program.
- Schematic/basic design - submitted for regulatory review.
- Technical design - coordinated with structural, MEP and fire-safety consultants.
- Construction documents - detailed enough for a contractor to build from.
- Regulatory approval - fire safety, basic design review; usually at least one revision round.
- Construction administration - answering site queries, handling changes during the build.
- As-built handover.
Step 6 is where actual cost most often exceeds the original estimate in this trade - not because something was done wrong, but because a review-and-revise round after regulatory submission is simply built into how the work happens.
Ten categories, in the trade's real order
1. Labor - the largest category, leading the cost
Hours by staff level (principal, project architect, drafter). Hourly rate = total monthly loaded staff cost (salary, benefits, insurance) divided by actual working hours in the month - not the contractual hours on paper.
2. Office overhead - the second-largest category, not an afterthought
Office rent, CAD/BIM software licenses, utilities, indirect staff (accounting, admin, IT). In manufacturing this sits at the bottom as a thin layer; in a design practice it often runs close to direct labor in size.
3. Materials - genuinely small
Large-format printing paper, physical presentation models if the contract calls for one. Small next to labor and overhead, but worth recording when a project includes an expensive presentation model.
4. Equipment - office hardware, small depreciation
High-spec workstations, large-format printers/scanners, annual software licenses treated as depreciating equipment. Small compared to labor, though an expensive BIM license is worth tracking separately on projects that use it heavily.
5. Scrap - essentially not applicable in the physical sense
No physical scrap exists. A concept fully abandoned before development is the closest equivalent, but it's rarely worth tracking separately - this category is typically left blank in architecture.
6. Consumables - office supplies, small
Ink, paper, office supplies. Small, kept short here because it genuinely is small.
7. Subcontracted work - genuinely large in this trade
Structural, MEP, geotechnical, fire-safety and interior consultants - most practices hire specialists for these rather than doing everything in-house. This category is used as heavily and as clearly as subcontractors in construction.
Take the exact figure from the subconsultant agreement, converted to the equivalent hours of the project.
8. Rework - the largest and most trade-specific category
Revising the design per client change requests, or per regulatory review comments (fire safety, basic design approval). Unlike manufacturing, where rework is an anomaly, at least one review-and-revise round here is close to routine and should be treated as a built-in cost of the process, not an incident.
Track client-driven revision hours (usually unpaid) separately from regulatory-driven revision hours (sometimes billable, sometimes not) - they have different causes, so improving them takes different action.
9. Packaging - not applicable
Deliverables go out as electronic files or bound printed sets, not packaging in the manufacturing sense. Leaving this blank is correct, not an oversight.
10. Freight - site visits and meetings, small but real
Travel cost for site surveys and client/contractor meetings. Small next to labor, but can add up on a project far from the office - worth recording rather than folding quietly into overhead.
